Creating an Account

You may browse Image Library without an account; however if you plan to download, purchase, organize or share photos from the database, you will need an account. To register, simply click on the 'Login/Register' button in the top right corner of the homepage. If you already have a login and password, enter it under 'Returning Customer?'. If not, enter your information under 'Open a New Account' and click submit. Once you have an account, logging in should be the first thing you do when you visit the site. This will save you having to backtrack and login if you want to download an image or add it to your cart. If you attempt to purchase photos without logging in, the system will take you to the login page when you attempt to checkout.

Searching

The search box for Image Library is located in the upper right corner of the homepage. It is also accessible from the thumbnail browse pages. It has a dropdown with a number of limitable options. To search:

by Keyword: Simply type in a keyword and click search. Note that the keyword search is inclusive, not exclusive, so typing in 'Hatchet' will return images of Professor Hatchet as well as hatchets themselves. Similarly, typing in a job number search for 133_06 will return images from both 133_06 and 1133_06. Currently the search is only limitable to the fields below, but we hope in the future to provide more options in the search dropdown and to implement an advanced search with customizable parameters.

by Job ID Number: Select 'Job ID#' from the search dropdown and type in the job number, separating the number, year and frame with underscores, e.g. 1133_06_29. To search for all photos in a particular job, type in only the job and year, e.g. 1133_06.

by Event: To limit a search to a particular event, choose 'Event' from the search dropdown and enter a search term. This search will limit your search to events only, so for example, let's say Professor X spoke at the 2006 Renewable Energy Symposium; typing in 'Professor X' will return photos of Prof X speaking at events, but will not return studio portraits of Prof X.

by Photographer: to search for images by a specific UPhoto photographer, choose this option from the search dropdown and type in the photographer's name (last, first or both). Note that only current UPhoto photographers are credited in the database. Attributions for photos taken by photographers no longer with UPhoto appear simply as 'University Photography'.

by Building/Location: This option is useful for finding, for example, all photos taken in a particular location. Whereas the Buildings, Locations and Scenics browse category will contain photos only of the buildings themselves, this search will return ALL PHOTOS taken in a particular location. So, choosing the Building/Location search dropdown and typing in 'Warren Hall' will return every picture taken at or in Warren Hall in the database - building shots, events, environmental portraits, everything.

Browsing

Browsing Image Library is as simple as clicking on the categories you see on the left of the homepage. Clicking on a category will display all images in that category, and will also display a number of indented subcategories to allow you to narrow your search further. Simply click on a subcategory to see the images in it.

How Images are Categorized

Images are categorized according to the primary focus of the photograph itself.

Primary categorization criteria for each category:

Academics & Research: photos must contain something that indicates what type of research is being done, or be of a faculty member from a particular department. In this category you will primarily find images of people working in labs, with equipment, or in the field, or displaying tangible results of academic research such as books, equations on blackboards, etc. You will also find images of classses being taught in a particular college or department, events sponsored by a particular college or department (if they have an academic component, such as a symposium), and faculty portraits and environmentals categorized by college and department.

Buildings, Locations, & Scenics: photos must be concerned primarily with depicting a building, location, or scenic landscape. In this category you will primarily find images of buildings on campus (interiors, exteriors, architectural details), scenic landscapes and panoramas, and locations WITHOUT PEOPLE. A location is a defined space that is not a building (e.g. Ho Plaza or Arts Quad). You will also find statuary and other public art in this category. Images of people or events in a particular building or location will be categorized under People or Events, as the primary focus of those images is not the building or location itself.

Collections: photos must be concerned primarily with depicting an artifact, specimen or art object that is part of a collection on campus. Images in this category will be of members of art and artifact collections, museum pieces, books, etc. on campus. You will also find photos of people using collections (e.g. a student or faculty member displaying a specific book or artifact).

Events: photos of major events on campus. Images in this category will mostly be of large congregations of people taking part in all types of campus events. This category is subcategorized by month and then by specific event. Images in this category are primarily concerned with showing that what is occurring is an event, which usually means many people engaged in some type of activity. Note that the sheer volume of events on campus precludes the listing of every specific event. However, if the specific event you are looking for is not listed under a particular month, you may do a search for it by choosing 'Event' from the search dropdown and typing in your search term.

Historical: This category contains images older than 10 years of historical interest.

Panoramas: Due to their popularity and visibility on cornell.edu, we have created a special category for all panoramic photos, regardless of subject matter. Photos in this category will also appear in other categories according to their content.

People: photos must be concerned primarily with people. Images in this category will be focused primarily on specific people. Here you will find faculty and staff studio and environmental portraits, photos of Cornell Presidents, and all types of photos of students, from in-class shots to portraits to activities to athletics. Special visitors to Cornell such as political figures, speakers and lecturers, actors, celebrities, musicians, etc. will be found here as well.

Press: This is a special category we use for images of interest to outside media organizations.

UPhoto Showcase: Our (subjective) selection of the best images shot by University Photography. Here you will also find images that appeared in past Cornell calendars, key publications such as the 'C' book, and the annual senior profiles series.

What's New (Archives): This folder contains images that are new additions to the database, but were not shot recently. Currently, we are working our way backwards through the UPhoto archives.

What's New (Current): This is where you go to view the newest current images shot by UPhoto. If you have seen a photo in a recent publication and it's one of ours, you will probably find it here. Lag time between an actual photo shoot and the appearance of a photo in the Image Library varies due to publication restrictions and workload. All photos in this category and the What's New (Archives) category will also reside in their respective content categories. Images reside in What's New categories for one month after upload, at which time they are removed from these folders but remain in other categories according to content.

Viewing Images and Image Information

When you browse or search, you will be presented with a thumbnail gallery of images with image ID numbers and the beginning of the image caption beneath them. To view details of a particular image, double-click on it. The next page is called the 'Preview Page'. Here you will see a larger thumbnail of the image as well as a caption with image information above it. Below it, you will see a zoom button, and metadata information about the image. If you are logged in, you will also see a download button.

This is the screen from which you execute most functions, such as finding price information, adding an image to your cart, zooming in to see a larger version of the image, or downloading a low resolution copy of the image.

the Zoom Page: To view a large, low-resolution, watermarked version of the image, click on the zoom button from the Preview Page. You can also download from the zoom page by clicking the download button (only visible if you are logged in).

Downloading Images

General users may download low-resolution, watermarked copies of the images in Image Library for personal use. To obtain high-resolution images for web, print or personal use, you will have to make a purchase. Digital versions are normally restricted to internal use, while prints may be purchased by anyone. To download a low-res, watermarked version of the image, click the download button on either the Preview Page or the Zoom Page (you will have to be logged in to see the download button). For internal Cornell users, you can retain the image's file number by clicking the download button on the Preview or Zoom pages. You will get a save dialog box that will retain the image's file number. Note that dragging an image to your desktop or right-clicking and choosing Save As... will not retain the file number.

Purchasing Prints or Hi-Res Digital Files

1. Log In;
2. Locate your image through browse or search;
3. Double-click an image to get the the preview page;
4. To add an item to your cart, you must first specify what you want and how you want it delivered. For prints, fill out the delivery type, image size, and quantity and click the 'Find Price' button. The price will appear below the text below the buttons. If you agree the price, click 'Add to Cart'. For digital files, fill out the delivery type, image size, file type, resolution, delivery options and quantity fields, and click 'Find Price'. Then click 'Add to Cart';
5. Your cart contents will be shown on the next page. If you have a Cornell Tax Exemption ID, enter it on this page (enter the entire ID: EX-xxxxxx). From here you can continue shopping, manage your cart, or proceed to checkout.
6. To check out, click 'Proceed to Checkout'. You will have to acknowledge that there may be additional usage charges added to your order (does not apply to prints) on the popup that appears in order to continue. On the payment page, enter your credit card information (or cornell procurement card number; NOTE: If you are using an internal department billing code or charge acct number, enter it below the zip code field and leave the top field blank). Click 'Checkout'.
7. If successful, you will receive a receipt for your order. UPhoto will contact you to complete the delivery.

Using the Light Box Feature

A Light Box is like a folder you can create in Image Library to put images into without them being in your cart. The lightbox allows you to collect images that interest you into designated groups, say for different projects or publications. You can add, remove, share, or email images in your lightbox, or transfer them to your cart for purchase.

To create a lightbox:
1. Log In;
2. Click 'Light Box' in the upper right corner;
3. On the Light Box page, click 'New'; give the box a name and designate a client (this can be you). Notes about the contents of the box can also be entered. Click 'Save'.
4. Locate images by browsing or searching.
5. From the thumbnail page, select the images to add to your Light Box by clicking on them one by one (a single click will highlight the thumbnail by turning it blue). Then, select your Light Box from the dropdown menu at the top or bottom of the page (this dropdown should say 'Please Select' and is to the left of the text that says 'Displaying 1-...').
6. Once you add the items, you will be taken to the Light Box page where you can view the contents of your Light Boxes by selecting the Box you want to view (click on it) and clicking 'View'.
7. Here you can manage the Light Box - transfer, share, email, delete, save changes, remove items, copy them to other light boxes, or add them to your cart (mouse over the buttons in the Light Box to see descriptions of exactly what each button does). If you add them to your cart, you will be taken through each image in turn to select delivery options.
